Privacy and Security

UltimateDonations is provided by Two Knights Media, Inc. and its affiliates ("we," "us," or "our"). This policy explains what information we collect when you use our websites, apps, emails and related services (together, "UltimateDonations"), how we use it, who we share it with, and the choices you have.

Information we collect

Information you give us. When you create an account or set up an organization or business, we collect details such as your name, email address and sign-in information, and details about the organization or business you represent (for example its name, website, location and tax identification number). As you use UltimateDonations, we also store what you enter or upload, such as event and fundraising details, businesses you add as potential donors, notes, drafts, images and other content, and the messages, feedback and problem reports you send us.

Information collected automatically. When you use UltimateDonations, we and our service providers automatically collect some information about how you use it and about your device and browser. See "Usage and Interaction Information" and "Cookies and similar technologies" below.

Information from other sources. If you sign in with a third-party account such as Google or Microsoft, we receive basic profile information from that provider, such as your name and email address. We may use services that check whether an email address is valid and deliverable. Our directory of businesses and their giving programs is built largely from publicly available information. When you ask us to, we review publicly available content on your organization's own website to help set up your account and suggest materials. We may also hold information you gave us through earlier versions of our services.

How we use information

We use information to:

• provide, operate and maintain UltimateDonations, including creating your account and delivering the features you request;
• match organizations with businesses and donation programs, and help you prepare requests and other materials;
• process subscriptions and other purchases;
• communicate with you, including service messages, responses to your questions, and information about our services;
• understand how UltimateDonations is used so we can fix problems and improve its design and features;
• protect the security of UltimateDonations and our users, and prevent spam, fraud and abuse; and
• comply with our legal obligations and enforce our terms.

Features that use AI

Some features create content with the help of AI, such as draft messages, suggestions, summaries and images. To provide these features, the information needed for the task (for example details about your event or organization) is sent to AI service providers that process it on our behalf. AI-generated content can contain mistakes, so please review it before you use it.

Usage and Interaction Information

When you use UltimateDonations, including our websites, applications and emails, we and our service providers may automatically collect information about how you interact with them, such as the pages and screens you view, the features you use, clicks and similar interactions, time spent, whether an email was opened or a link in it was clicked, and general information about your device and browser. Within our app, click measurement records where on the page a click landed and which part of the page was clicked; it is not designed to capture the content you type into forms. We review this information in aggregate, and we do not report on groups too small to keep individual activity private. We use it to operate, maintain, secure, analyze and improve our services, including their design and ease of use.

Cookies and similar technologies

We use cookies and similar technologies, such as your browser's local storage, to keep you signed in, keep your account secure, remember your preferences and settings, and make the service work properly. These are essential, and some features will not work without them.

On our public website we also use analytics tools, such as Google Analytics, to understand how visitors use the site. Our cookie banner lets you choose "Essential only" to turn this measurement off. Advertising-related cookies and tags, such as those used to measure the results of our ads, are used only if you choose to accept them. These providers handle information under their own privacy policies.

Bot protection

To protect our forms and sign-up pages from spam and automated abuse, we use a security service that may check information about your browser and device to tell people apart from bots.

Email

We send email about your account and the features you use, and, from time to time, email about our services. Our email provider tells us when a message is delivered, and for many messages, whether it was opened or a link in it was clicked. Every promotional email includes an unsubscribe link, and supported email apps also show a one-click unsubscribe option. Unsubscribing from promotional email does not stop messages we need to send about your account.

Payments

Payments are processed by our payment processor. We do not store your full card number. We do not hold donations or other funds on anyone's behalf.

Phone calls and text messages

If you call us or leave a voicemail, we may record and transcribe the call so we can respond. If you give us a mobile number and agree to receive text messages from us, message and data rates may apply, and you can reply STOP to any message to unsubscribe. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

How we share information

We do not sell your personal information, and we do not give it to other companies so that they can market their own products or services to you. We share information only as described here:

• Service providers. We use other companies to help us run UltimateDonations, including for hosting and data storage, email delivery, payment processing, AI services, security and bot protection, analytics, and customer support. They may use information only to provide their services to us.
• Within your organization. Information you add to an organization or business account is available to the other members of that account, according to their role.
• Information you choose to publish. Anything you choose to make public through UltimateDonations will be visible to others.
• Legal and safety reasons. We may disclose information if we believe in good faith that it is required by law or legal process, or needed to protect the rights, property or safety of our users, the public or us.
• Business transfers. If we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.

We may also share information that has been combined or de-identified so that it no longer identifies you.

Keeping and deleting information

We keep information for as long as your account is active and as long as we need it to provide our services, meet legal and accounting obligations, resolve disputes and enforce our agreements. You can ask us to delete your account at any time. When you do, we will deactivate your account and process your request, keeping only information we need for the reasons above.

Your choices

• Email. Use the unsubscribe link in any promotional email, or your account's email settings.
• Cookies. Choose "Essential only" in our cookie banner, or use your browser settings to block or delete cookies. Clearing our cookies brings the banner back so you can choose again.
• Your account. You can review and update much of your information in your account. To ask for a copy of your information, a correction, or deletion of your account, contact us using the details below.

Security

We use reasonable technical and organizational safeguards to protect your information, including encrypting information sent between your browser and our service and limiting who can access it. Please keep your sign-in details private. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

UltimateDonations is intended for adults acting for organizations and businesses. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version on this page and update the date shown on it. If we make significant changes, we will provide appropriate notice.
